Dynamic Allocation and Quote Priority
Classification: IMPORTANT
We have introduced a new priority-based allocation allocation model that aligns inventory commitment with demand certainty.
Previously, the allocation logic of the system treated quotes and orders equally, assigning inventory based solely on rental date periods regardless of commitment level. This resulted inventory being prematurely reserved for low-certainty demand, thereby blocking availability for confirmed business.
With this enhancement, quotes are assigned low priority to keep stock visible but not blocked. Orders are assigned standard priority and are prioritized over quote allocations. The system automatically reclaims inventory from quotes when needed, resolving conflicts during quote-to-order conversions. Confirmed orders therefore always take precedence unless a quote has been explicitly prioritized or tied to specific equipment.
This enhancement ensures that inventory remains flexible until revenue is secured, while automatically protecting confirmed business.

Enhancement to Customer invoice plan (CIP)

We are introducing an enhancement to Customer invoice plan (CIP) handling when forwarding a Sales order (COA) in RamBase.
Previously, if a Sales order (COA) containing a Customer invoice plan (CIP) was forwarded to a new Sales order (COA), it was not possible to create a new Customer invoice plan (CIP) for an item that already had a Customer invoice plan (CIP) on a previously forwarded Sales order (COA).
With this enhancement, RamBase automatically transfers Customer invoice plan (CIP) lines that have not yet been invoiced when a Sales order (COA) is forwarded.
Users can now:
Automatically transfer Customer invoice plan (CIP) lines that have not yet been invoiced when forwarding a Sales order (COA)
Automatically continue existing invoice plans on the new Sales order (COA), eliminating the need for manual workaround processes.
Choose whether to keep the amount or the percentage when item quantities are changed during forwarding
Have invoice plans automatically recalculated based on the selected option
Retain a clear history by marking the original Customer invoice plan (CIP) as forwarded
Continue working with the transferred invoice plan on the new Sales order (COA)
Only Customer invoice plan (CIP) lines that have not yet been invoiced are forwarded. Invoice plan lines that have already been invoiced or paid are not included in the transfer.
As part of the forwarding process, users are informed that Customer invoice plan (CIP) lines that have not yet been invoiced will be transferred. When quantity changes affect an invoice plan, RamBase prompts the user to choose whether the plan should preserve the original amount or percentage before recalculating the new plan.
By automating Customer invoice plan (CIP) forwarding, RamBase reduces manual work, improves continuity between forwarded Sales orders (COA), and provides greater flexibility when updating Sales orders (COA) with existing invoice plans.

Re-invoice reimbursable costs

We are introducing Re-invoice reimbursable costs, making it easier to pass supplier expenses on to customers in a controlled and traceable way.
Previously, users had to manually recreate outgoing invoice lines and copy supporting documents from incoming invoices when charging customers for reimbursable expenses such as freight, travel, subcontractor services, or testing.
With this enhancement, users can select reimbursable cost lines from incoming invoices and create an outgoing invoice based on those costs. The solution maintains a link between the original supplier invoice and the customer invoice, supports configurable markups or pure pass-through billing, and allows supporting attachments to be included by default.
This enhancement reduces manual work, improves traceability, and helps ensure reimbursable costs are billed accurately and consistently.
Introducing date-based interest rates

We are introducing Date-based interest rates, improving how interest on overdue receivables is calculated when interest rates change over time.
Previously, RamBase used a single global interest rate for all calculations. This could lead to incorrect interest amounts when overdue invoices spanned periods where official rates had changed.
With this enhancement, interest rates can now be defined with validity periods. The system automatically applies the correct rate for each time segment when calculating interest, ensuring accurate results even when multiple rate changes occur within the same overdue period.
Users maintain interest rates manually per dateinterval, and the system validates that all periods have a valid rate before calculation. Once interest has been calculated for a period, the related rate intervals cannot be changed, ensuring consistency and auditability.
This improvement ensures more accurate interest calculations, reduces the risk of disputes, and aligns RamBase with regulatory interest rate changes over time.

Previously, all exchange rates were sourced from predefined global providers (e.g., European Central Bank, Norges Bank, Nardowy Bank Polski) and shared across all customers. This update allows customers to define, manage, and use their own rates, providing greater flexibility and control over currency handling.
