The following updates have been added to RamBase Cloud ERP:


Rental


Full-Period billing for Rental contracts (RCT)

RamBase now supports a new billing option that allows partial billing periods to be invoiced as full periods. This enhancement addresses customer scenarios where contracts require full charges for any started billing period, regardless of actual rental start or end dates.

 

With the introduction of Full-Period billing, users can control how partial periods are handled directly in the system, eliminating the need for manual corrections and ensuring compliance with customer-specific contractual terms.

 

When enabled, any partial billing period at the start and/or end of a rental can be invoiced as a full period. The system will still distribute revenue across actual rental days for accounting purposes, but the invoice will reflect the full billing period amount.

 

Configuration

Full-Period billing can be configured at three levels:

  • Company setting (CSV), Full Billing for Partial Periods
    Defines the default behavior for new rental contracts. Changes only apply to contracts created after the update.
  • Rental contract (default setting) - Default Full Billing for Partial Periods
    Inherits from the company setting but can be overridden. Applies to contract items created after the change.
  • Rental contract item - Full Billing for Partial Periods
    Inherits from the contract default and can be adjusted per item until the start period has been invoiced (with some limitations).

This enhancement removes the need for time-consuming manual adjustments while reducing the risk of underbilling and inconsistent pricing. It enables better alignment with customer-specific contractual terms, improves invoice clarity, and ensures more accurate utilization and financial reporting.
