RamBase Cloud ERP release info - week 21

The following updates have been added to RamBase Cloud ERP:

Production

Continuous forward to stock allowed when picking is in progress

Classification: USEFUL

The continuous forward to stock function has been updated to allow for a portion of a production work order to be forwarded to stock when picking is not yet completed but enough parts were picked. Previously, the system prevented sending any portion of the Production work order (PWO) to stock until picking was completed.

This update creates greater flexibility for the production process by accounting for instances where only some of the required material has been picked but the corresponding finished quantity needs to be moved to stock.

Improvements in the Production resource capacity and load (RCL) details view

Classification: USEFUL

The Production resource capacity and load (RCL) details view has been updated to provide a more streamlined and comprehensive overview of production capacity and load data.

What’s new?

  • The following information has been added to planned and active Production work orders (PWO):
    • Status
    • Work order (product description)
    • Part (product name)
    • Remaining quantity to be produced
    • Remaining hours for the Production work order operation (PWO)
    • Sequence number
  • For more efficient viewing, the collapsed view of a resource group will remain collapsed when scrolling through dates.
  • For more efficient navigation, inspection of a Production work order (PWO) from the Production resource capacity and load (RCL) details view, and back, will display the opened details view instead of the main view.

Finance

Improved validation for goods invoice registration

Classification: USEFUL

We are introducing new validation and warning functionality for goods Invoice registration in RamBase to help users avoid accounting errors and improve invoice quality before posting.

Previously, users could register and post incoming goods invoices without warnings, even when the invoice lacked a connection to a Purchase order (SPO). In some cases, this could result in invoices being posted using incorrect accounting rules or general ledger accounts.

With this improvement, RamBase will provide additional warnings and validation based on invoice content and PO-linking status to help users identify potential mistakes earlier in the process.

For example, if a user registers an invoice from a freight company and selects a product of type Part (P), the invoice may incorrectly be treated as a goods purchase instead of a service purchase. This can lead to postings against inventory or goods-related general ledger accounts rather than service-related accounts. RamBase will now help identify these situations and warn the user before posting.

Automated default blocking for General ledger default account assignments (ACD)

Classification: USEFUL

We are introducing automated default blocking functionality for General ledger default account assignments (ACD) in RamBase to improve accounting control and reduce the risk of incorrect postings.

Previously, General ledger accounts (ACC) that where assigned to General ledger default account assignments (ACD) were by default open for all transaction types unless restrictions were manually configured on General ledger accounts (ACC). This could lead to accounts being used for unintended transactions and increase the risk of posting errors.

When an account is changed or assigned on a General ledger default account assignment (ACD), the configured default blockings are automatically applied to the relevant account configuration. The user can still manually override the blocking settings directly on the General ledger accounts (ACC) when needed.

This helps ensure more consistent accounting configurations across the system while still allowing flexibility for specific account requirements.

The update also improves transparency and traceability:

  • Users can see which blockings have been applied to an account
  • All automatically applied blockings are logged for audit purposes

Special consideration has also been added for General ledger postings (ATR) load processes used during implementations and General ledger posting (ATR) imports. As long as the correct transaction type is used during General ledger postings (ATR) load, postings will not be blocked unintentionally. If a blocked transaction type is used, the system will stop the posting and provide a warning or error message explaining the reason.

The default blocking rules are predefined by RamBase to support recommended accounting control practices, while still allowing users to manually adjust account settings when needed.

Introducing the new Confidential invoices (CFT) application

Classification: USEFUL

RamBase now introduces support for confidential invoices, giving companies the ability to control who can view sensitive supplier invoices and their attachments. Until now, anyone with access could see all invoices, including those containing sensitive or personal information. With this release, confidentiality becomes a built-in capability in RamBase.

Confidentiality can be defined early in the invoice process and managed through configurable access types. These access types determine which users are allowed to view specific confidential invoices. Access can be automatically applied based on supplier settings, while still allowing flexibility to override confidentiality at the individual invoice level when needed.

Only users assigned to the relevant access type will be able to view confidential invoices and their attachments. Other users may still see limited header information, such as invoice number and due date, but will not have access to line details, notes, or attached documents. Access restrictions also apply across archives, ensuring that attachments cannot be accessed through alternative paths.

The solution introduces a more dynamic and secure access model, where roles are automatically aligned with defined confidentiality types. This ensures that users only see the information they are explicitly authorized to access, without adding administrative complexity.

By enabling control over invoice visibility, this enhancement helps organizations protect sensitive data, stay compliant with regulations, and avoid manual workarounds, while giving finance teams and management the control they need over confidential financial information.

QUALITY

Quality, HSE and Security assurance (QHSES) module renamed to Quality

Classification: IMPORTANT

The Quality, HSE and Security assurance (QHSES) module has been renamed to Quality. This change was made to reflect the integration of the RamBase Quality Management System into RamBase Cloud ERP and provide a better approach to quality management. This change is reflected in several areas:

All references of QHSES in the system are now simply referred to as Quality

The QHSES module and the QHSES desktop tab have been renamed to Quality. The QHSES setup (QISADMIN) application has been renamed to Quality admin (QUALITYADMIN).

Reorganization and additional tabs in the Quality admin (QUALITYADMIN) application

In addition to the renaming of the application, Quality admin (QUALITYADMIN) now includes two new tabs: Documents and Diagrams. These tabs refer to applications specific to the RamBase Quality Management System and are only relevant and accessible for customers using QMS modules.

All previous tabs, subtabs, and their respective functionality remains unchanged. However, a slight restructuring of the Quality admin (QUALITYADMIN) tabs was made to ensure better organization of the application. Consequence areas, Consequence types, Cost categories, and Requirement references are now included as subtabs under the tab General datasets.

These changes provide a buildable and scalable approach to quality management, ensuring full traceability of your entire quality ecosystem in one system.
